Privacy Policy

Effective Date: 6 September 2026

Last Updated: 6 September 2026

At My Jewellery Valuation ("we," "our," or "us"), we are committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our physical home-visiting appraisal services, online valuation platforms, concierge services, and our website (www.myjewelleryvaluation.com).

We act as a Data Controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

---

1. INFORMATION WE COLLECT

We collect personal data to deliver a secure, accurate, and professional valuation service. This information falls into two categories:

A. Personal and Contact Information

- Identifiers: Full name, title, residential address, billing address, email address, and telephone numbers.

- Verification Data: Government-issued identification (e.g., passport or driving licence) where required to verify ownership or comply with legal obligations (e.g., anti-money laundering regulations).

B. Asset and Valuation Data

- Item Details: Detailed physical descriptions, weights, measurements, serial numbers, and hallmarks of your jewellery, gemstones, luxury watches, and luxury collectables.

- Visual Imagery: High-resolution digital photographs and macro-photography of your items captured during on-site visits or uploaded via our online platform.

- Provenancial Documentation: Copies of purchase receipts, historical valuations, diamond grading certificates (e.g., GIA), and original warranties provided by you.

C. Technical and Usage Data

- Digital Metrics: IP address, browser type, operating system, referring URLs, and information on how you interact with our website via essential cookies.

---

2. HOW WE USE YOUR INFORMATION

We process your personal data under the following lawful bases defined by the UK GDPR:

- Performance of a Contract: To schedule appointments, conduct home-visiting concierge services, generate formal valuation reports, and manage billing.

- Legal Obligation: To comply with regulatory, tax (HMRC), and anti-money laundering obligations, or when instructed by court orders (e.g., marital asset division, probate law).

- Legitimate Interests: To maintain structural records for your future portfolio revaluations, prevent fraud, secure our business operations, and improve our services.

---

3. DATA RETENTION AND SECURITY

Because luxury assets require ongoing tracking, your valuation data is held securely according to strict guidelines:

- Retention Period: We retain your contact details and asset valuation portfolios indefinitely or for as long as required by your insurance providers and HMRC regulations. This allows us to provide a seamless Discounted Revaluation Service using historical records without needing to re-examine the items physically.

- Physical and Digital Security: All digital reports, records, and photographs are stored on encrypted, access-controlled cloud networks.

- Strict Confidentiality: Our personnel operate under strict non-disclosure terms to ensure absolute discretion regarding your high-value personal collections.

---

4. INFORMATION SHARING AND DISCLOSURE

We do not sell, rent, or lease your personal data to third parties. We never offer to buy or sell jewellery, eliminating commercial conflicts of interest. Your information is only shared under the following limited conditions:

- Professional/Insurance Authorities: With your explicit consent, reports may be verified with insurers or professional gemmological bodies (such as Gem-A or the NAJ) to validate certificate authenticity.

- Legal and Regulatory Bodies: When legally mandated to do so for probate, late estate administration, HMRC tax calculations, or asset separation disputes under family law.

- Essential Service Providers: Trusted IT, database hosting, and secure payment processing platforms that operate under strict data processing agreements matching UK GDPR standards.

---

5. YOUR DATA PROTECTION RIGHTS

Under the UK GDPR, you possess specific rights regarding your personal information:

- Right of Access: You can request a copy of the personal information and portfolio records we hold about you.

- Right to Rectification: You have the right to request corrections to inaccurate or incomplete information.

- Right to Erasure ("Right to be Forgotten"): You can request the deletion of your data, provided it is no longer required for legal obligations, ongoing contracts, or necessary tax/probate record-keeping.

- Right to Restrict or Object: You can object to or limit the processing of your personal data under certain conditions.

To exercise any of these rights, please contact us using the details provided below.

---

6. COOKIES AND TRACKING

Our website uses cookies to ensure basic functionality, monitor site performance, and enhance user experience. You can manage or disable non-essential cookies through your individual browser settings; however, disabling them may impact your ability to use certain web-based forms.

---

7. CHANGES TO THIS PRIVACY POLICY

We reserve the right to modify this Privacy Policy at any time to reflect operational changes or evolving legal frameworks. Any updates will be published directly to this page with a revised "Effective Date."

---

TERMS AND CONDITIONS

Effective Date: 6 September 2026

Last Updated: 6 September 2026

Welcome to My Jewellery Valuation ("we," "our," or "us"). These Terms and Conditions govern your use of our physical home-visiting appraisal services, online valuation platforms, concierge services, and our website (www.myjewelleryvaluation.com).

By booking a valuation or using our website, you agree to comply with and be bound by these terms. Please read them carefully.

---

1. SERVICES PROVIDED

My Jewellery Valuation provides independent, professional valuation and assessment services for fine jewellery, diamonds, gemstones, precious metals, luxury watches, and luxury collectables.

- Our valuations are completely independent. We DO NOT buy, sell, or trade luxury assets, ensuring an unbiased assessment.

- Reports are prepared for specific purposes declared at the time of booking (e.g., Insurance Valuation, Probate, Division of Assets). A report generated for one purpose may not be suitable or valid for another.

2. FEES AND PAYMENT

- On-Site / Home Visiting Service: Fees are charged at a flat hourly rate of £135.00 per hour, as explicitly agreed upon during booking. No travel charges apply within our designated visiting zones.

- Online Valuations: Charged at a flat rate of £45.00 per jewellery item and from £50.00 per watch.

- Future Revaluations: Portfolio updates utilize existing documentation and are charged per item according to our published volume discount scale.

- Payment Terms: Payment is due strictly upon completion of the physical appraisal or prior to the release of the final PDF and hard-copy valuation reports, unless otherwise agreed in writing. We accept bank transfers, and standard digital payment processing platforms.

3. CLIENT OBLIGATIONS & REPRESENTATIONS

- By submitting an item for valuation, you explicitly warrant that you are the legal owner of the item or that you have the express, legal authority of the owner to request the valuation.

- You agree to provide all relevant historical records, previous valuations, original purchase receipts, and grading certificates (e.g., GIA, Gem-A) in your possession. Failing to provide accurate provenance information may affect the final valuation conclusion.

4. LIMITATION OF LIABILITY

- Valuations represent an expert, professional opinion based on current market conditions, gemmological testing techniques, and equipment available at the time of the appraisal. They do not constitute a guarantee, warranty, or insurance policy.

- While your jewellery remains in your sight at all times during physical consultations, you retain full responsibility for the safety, transit, and overall physical insurance coverage of your assets.

- We are not liable for any indirect, incidental, or consequential financial losses, or changes to market conditions that occur after the valuation report has been finalized and issued.

5. INTELLECTUAL PROPERTY & COPYRIGHT

- All valuation reports, digital photographs, macro-imagery, and documentation generated by us remain the intellectual property of My Jewellery Valuation.

- Upon full payment of our fees, you are granted a non-exclusive license to share copies of the valuation report with your insurance brokers, underwriters, legal representatives, or tax authorities (HMRC) for the intended purpose of the report. Reports may not be published publicly or used for commercial retail marketing without our prior written consent.

6. CANCELLATIONS AND RESCHEDULING

- We require a minimum of 48 hours' notice for the cancellation or rescheduling of any home-visiting concierge appointment.

- Cancellations made under 48 hours may be subject to a reasonable administrative fee to recover scheduling allocations.

7. GOVERNING LAW

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
